IF Customer Service Rep/Administrative Assistant

The Industrial Fabrics Customer Service Representative/Administrative Assistant provides optimum service for the Industrial Fabrics customers (75% of time), and serves as administrative support to the IF team as needed (25% of time).

Key responsibilities for this position include:

Customer Service Duties (75% of time):

  • Acting as a liaison, providing product/services information, and resolving any emerging problems that our customer accounts might face with accuracy and efficiency
  • Providing primary customer service/support for a specific US region, and providing back up to other regions
  • Supporting and collaborating with the Industrial Fabrics outside sales force; answering phone and email inquiries for customers and sales reps
  • Reviewing Open Order List daily for issues or to verify ship dates with the Fabrication and Shipping Departments, preparing for shipping meetings
  • Entering and verifying orders: processing fax, phone, credit card/e-mail purchase orders from customers, clarifying order details, i.e. ship via, setting up new customers in system, checking stock levels, and securing production if necessary
  • Tracking orders: coordinating order changes and coordinating shipment internally and externally with freight forwarders
  • Reviewing credit holds with Credit Manager, processing Debit/Credit memos, quality or complaint issues, color matching requests, and claim orders

Administrative Service Duties (25% of time):

  • Entering Scrap Debit memos, generating IF, EP Commercial & EP Military monthly scorecard, preparing Quarterly BOD sales spreadsheet, and processing Geomembrane warranties
  • Logging, filing, and retrieving non-disclosure records as needed
  • Coordinating Sales Department customer visits and organizing the IF Sales Meeting
  • Other secretarial duties as needed

This position requires:

Business college degree preferred with 2-3 years of customer service experience with technical products and a proven track record, or a combination of related education and experience. Good written and verbal communication skills required. Proficient in MS Office products, specifically Excel and Word (Oracle). Fluency in Spanish preferred in order to communicate with Spanish-speaking customers.
